WHAT WILL YOU DO

The Executive Assistant will play a crucial role in supporting the Chief People & Communications Officer and the Chief Real Estate Officer and will work as part the executive support team. This position requires a dynamic individual who can seamlessly manage complex schedules, prioritize tasks, and occasionally assist with event planning to ensure smooth operations and excellent communication among all stakeholders. The ideal candidate will be highly organized, detail-oriented, and capable of handling confidential information with discretion. 

WHATS THE TEAM LIKE

The executive support team at the airport authority provides high-level administrative support to our executive leadership team, ensuring smooth daily operations and effective time management. They coordinate schedules, prepare documents, manage communications, and facilitate meetings, enabling executives to focus on strategic priorities. This team plays a pivotal role in maintaining organizational efficiency and supporting decision-making at the highest levels.

WHAT ARE SOME OF THE RESPONSIBILITIES 

  • Manage Executive Leadership Team calendars, including scheduling meetings, appointments, and travel arrangements.
  • Act as a primary point of contact between the executives and internal/external stakeholders.
  • Draft and edit communications, emails and correspondence.
  • Prepare and organize documents, reports, and presentations for executive and Board meetings.
  • Financial tracking of department expenses, reconciling monthly statements and ensuring reports and receipts are submitted for payment in a timely manner.
  • Mail/Courier Shipments, oversee and maintain mail, courier, and shipments, including tracking.
  • Ensure the most effective use of Executive’s time.
  • Collaborate on planning and executing events, meetings, and conferences, including logistics, catering, and accommodations.

WHAT DO YOU NEED TO BRING

  • The ability to gain and maintain a RAIC (RAIC Program and Application Information)
  • Minimum 3 years experience in a role that provides administrative support.
  • Flexibility and adaptability to changing priorities and fast-paced environments.
  • A proven ability to plan and organize yourself and others.
  • Exceptional organizational and time management skills.
  • Very high attention to detail.
  • Demonstrated strong professional communication skills, both verbal and written, with a focus on accuracy of spelling and grammar.
  • Friendly and welcoming demeanour, creating a positive experience for interactions with Executives.
  • Proficiency in Microsoft Office Suite including Outlook, Word, Excel, and PowerPoint.
  • Demonstrated ability to create professional reports, presentations, and documents.
  • Confident dealing in high-level situations with exposure to sensitive information, requiring considerable diplomacy, discretion, and good judgment.
  • Excellent problem-solving and multitasking abilities.
  • Strong interpersonal skills and the ability to work effectively in a team.

WHAT OPTIONAL ELEMENTS SUPPORT YOUR APPLICATION (all are assets)

  • Bilingual in English or French.
  • Post-secondary training in business administration, event planning, or a related field.
  • A preference for experience with senior-level administrative support.
