WHATS THE TEAM LIKE 

You’ll be joining a collaborative team dedicated to creating meaningful, memorable experiences across Calgary Airports. This role is part of the group that designs, plans, and delivers events that bring our culture to life, from internal crew celebrations and engagement activities to external airport activations, community events, and public facing experiences.

WHAT ARE SOME OF THE RESPONSIBILITIES   

  • Support the planning, organization, and delivery of town halls, team events, seasonal celebrations, retail openings, etc by coordinating logistics, timelines, and details from start to finish.  

  • Coordinate execution of events with partners like Communications, Facilities, IT/AV, and Security.  

  • Book venues, manage calendars, send invitations, track attendance, and prepare event materials so everything is ready at the right time and in the right place.  

  • Liaise with internal partners to confirm requirements, secure resources, and coordinate logistics balancing needs, timelines, and available space within approved parameters.  

  • Track event expenses, assist with purchase orders and invoice processing, and help keep events aligned to approved budgets.  

  • Draft and adapt event communications such as invitations, agendas, and day of instructions to ensure clear, timely information for all audiences.  

  • Provide onsite support during events by managing check-ins, answering routine questions, and helping things run smoothly behind the scenes.  

  • Identify and manage common event risks (AV issues, catering timing, room setup, crowd flow) and escalate higher impact issues when needed.  

  • Collaborate closely with Events Specialist and the broader team, providing reliable coordination support that helps initiatives succeed. 

WHAT DO YOU NEED TO BRING 

  • You’ll need to be eligible to obtain and maintain a RAIC, don’t worry – we’ll help you through this! For more details, check out: RAIC Program and Application Information 

  • 1–3 years of experience in an event coordination role, where you helped turn plans into well executed, memorable experiences.  

  • College or Associate Diploma in Event Management, Marketing or a related fieldRelevant professional experience may be considered in lieu of formal education. 
  • Strong organizational skillsyou’re comfortable managing task lists, tracking deadlines, and keeping event details moving forward.  

  • The ability to juggle multiple tasks at once, such as booking spaces, coordinating with partners, preparing materials, and supporting event day activities.  

  • Excellent attention to detail, ensuring event information, schedules, materials, and logistics are accurate and ready on time.  

  • Solid time management skills, with the ability to prioritize day-to-day tasks and meet event deadlines in a fast-paced environment.  

  • A collaborativeservice-oriented mindsetyou enjoy supporting teammates, responding to requests, and helping events run smoothly behind the scenes.  

  • Clear and professional communication skills for coordinating with internal partners and sharing event details with attendees.
